How to track business expenses simply

Expense tracking fails when it feels like a monthly chore. A small daily habit, with a few clear categories, makes it painless and gives you the numbers that matter: what the business costs and what each job earned.
Record it when it happens
Enter an expense the day you spend it, with the date, the supplier, what it was for, the amount and the tax shown separately. Keep the receipt, a photo is fine. A receipt left in a pocket for a month is a receipt you will not find.
Use a few categories
Ten simple categories beat forty detailed ones. Typical groups are materials, labour or subcontractors, vehicle and fuel, tools and equipment, software and subscriptions, insurance, rent and utilities, marketing, travel and other. Your accountant may prefer particular categories, so ask before you design your own.
Link costs to jobs
Costs that belong to a job should be recorded against it. That is what turns a pile of receipts into job profit: the amount billed minus the costs linked to the job. In BusinessPilotOS an expense can be linked to a job, and profit is worked out only from the invoiced subtotal and those linked costs.
Separate business and personal
Use a separate account or card where you can, so every transaction is a business one. Mixed spending is the largest cause of a messy year-end.
Know the local rules
What counts as deductible, how long to keep records and what tax details a receipt must show all depend on your country. Ask your accountant or tax authority, and record the tax rate you actually paid. BusinessPilotOS never assumes one.
Frequently asked questions
How long should I keep receipts?
Requirements vary by country, so check with your tax authority or accountant. Keeping them for the full period they require is the safe choice.
Should I record tax separately?
Yes. Showing net, tax and total separately makes later reporting much simpler.
What about small cash purchases?
Record them too, with a note. Small amounts add up, and they are the most commonly forgotten costs.
Put it into practice
BusinessPilotOS connects quotes, jobs, invoices, payments and costs, so the numbers in this guide come straight from your own records.
